If your organization appears, then it has received a grant in the past from IBM and you should continue with Option 2. If it does not appear, proceed to Option 1 and obtain the proper paperwork in order for the organization to be added to the system.
Option 1: Before an organization can be loaded into the IBM system, you must provide information to validate its not-for-profit status, and ensure they are in compliance with IBM's non-discrimination, legal and anti-bribery policies. NOTE: IRS verification and affirmation is not required for public schools, universities or colleges although you are still required to provide the IBM grant administrator with the name and address of the school or university to get it recorded as a valid grant recipient. • To validate the not-for-profit status, obtain a copy of the 501(c)(3) IRS determination letter from your organization. Again, public schools and universities do not have a 501(c)(3), and therefore are exempt from this requirement. However, charter schools or private schools are required to provide a copy of their 501(c)(3) tax determination letter, even though they have some affiliation with a public school district. • To ensure the organization is in compliance with IBM non-discrimination, legal and anti-bribery policies, they must affirm their compliance in writing.
Send a copy of the Affirmation of Compliance form to your charitable organization and have the Executive Director, President or CFO complete the document in its entirety, sign it, and then return the original document to you for review. Once you receive both the 501(c)(3) IRS determination letter and the signed Affirmation of Compliance form, send both documents to the IBM grant administrator in your region. Please note: the organization’s address must match on both documents or additional proof of address documentation will be required. Once all required documentation is received, the grant administrator will take the necessary steps to get your charity recorded on the list of eligible grant recipients. Please allow up to 5 days for the grant administrator to review, validate and update the system with your organization's information. It is important to know that incomplete or unacceptable documentation may delay the process. Option 2: If the organization is found in the list, select the organization from the search results and go to step 3.
